Going virtual for the long term&#8230;"},"content":{"rendered":"<h2><strong>Do we need an office? Should the office be \u201cOur home @ work\u201d or \u201cWork from home\u201d?<\/strong><\/h2>\n<p>The world had <a href=\"http:\/\/sigmify.com\/resources\/remote-teams-work-together-effectively-part-1-going-virtual\/\" target=\"_blank\" rel=\"noopener noreferrer\">come to standstill<\/a>. It was surreal.<\/p>\n<p>It was beginning to dawn on us that the shutdown was for the long haul. There was not going to be any quick reopening of our offices. And when we eventually would reopen\u2026 something will have changed. It would not go back to the way things were.<\/p>\n<p>What would change? We were consumed by questions like would we need an \u2018office\u2019? What does an \u2018office\u2019 mean? If we did, what kind of an office? What resources other than office are important for teams to work? How would the type and need for these resources change in the new setup? \u00a0How to keep the teams working effectively?<\/p>\n<p>It was all a bit overwhelming. So, we turned to reading about what heads much bigger than ours were saying on this subject. Their thoughts.<\/p>\n<p>Is an office really required? Quite of few of us from time to time worked from places away from the \u2018office\u2019 \u2013 from home, on the road, client locations, offices of our partner organizations. So, we were used to working \u2018remote\u2019. But that used to be for \u201csome of the time\u201d. This was going to be \u201call the time\u201d.<\/p>\n<p>Earlier, we all knew we would eventually meet each other in person, get in front of each other. Now we were going to be away on a longer-term basis. We would see each other only on a screen. On Webex, or Zoom, or GoToMeeting, or Microsoft Meeting among many others \u2013 take your pick.<\/p>\n<p>So\u2026 What is an office anyway? What did we need an office for?<\/p>\n<p>Did we need an office because we needed to exchange \u2018stuff\u2019 physically? Did we need the office for the infrastructure that the office provided \u2013 like internet, printers, phone systems, copiers?<\/p>\n<p>Or, did we need an office to make sure that everyone was heads down\u2026 working hard? Was it to facilitate meetings and sharing of ideas? I like to think that we were doing our jobs without someone looking over our shoulder all the time.<\/p>\n<figure id=\"attachment_6323\" aria-describedby=\"caption-attachment-6323\" style=\"width: 194px\" class=\"wp-caption alignright\"><img decoding=\"async\" class=\"wp-image-6323 size-full\" src=\"http:\/\/sigmify.com\/resources\/wp-content\/uploads\/2021\/09\/BLS-ATUS-Increase-in-WFH.png\" alt=\"Increase in WFH by profession\" width=\"194\" height=\"129\" \/><figcaption id=\"caption-attachment-6323\" class=\"wp-caption-text\">Increase in Work From Home &#8211; Change in 2020 over 2019<\/figcaption><\/figure>\n<p>I was poking around internet for answers when I chanced upon the \u2018<a href=\"https:\/\/www.bls.gov\/news.release\/atus.toc.htm\" target=\"_blank\" rel=\"noopener noreferrer\">American Time Use Survey<\/a>\u2019 from the US Bureau of Labor Statistics \u2013 the BLS-ATUS.<\/p>\n<p>The \u201c<a href=\"https:\/\/www.bls.gov\/news.release\/atus.t05.htm\" target=\"_blank\" rel=\"noopener noreferrer\">Employed persons working and time spent working on main job at home or workplace, by occupation and industry<\/a>\u201d report gives us a hint. Service industries that have less dependence on physical proximity between workers saw a larger increase in \u201cWork from Home\u201d or \u201cRemote Work\u201d.<\/p>\n<p>Our work fell in the \u2018less physical dependence\u2019 category. That made us more suited to the \u2018work from home\u2019 model. And most of our infrastructure was in the cloud. Our servers. Our phone systems. The software that we use. There was no specialized equipment or facilities at the office that anyone needed to use.<\/p>\n<p>So, what advantage did \u201cwork from office\u201d really have? Disadvanatages?<\/p>\n<p>The big advantage of working from an office was the ability for us to have impromptu conversations not really related to work, to gossip, to shoot the breeze, talk about the game last night, plan the next hike\u2026 stuff like that. We seem to have lost out on the social aspects of working.<\/p>\n<p>On the other hand working from office had a big disadvantage \u2013 the commute, the time spent commuting. How much time are we talking about? Back to the \u2018Time Utilization Survey\u2019!<\/p>\n<p><strong>How much time was saved by not commuting? And how was this time saved being utilized? <\/strong><\/p>\n<p>Overall, people saved about 25% time by not commuting. Average commutes were about 1.5 hours before the pandemic. How was this time saved by not commuting used?<\/p>\n<p>One of the biggest increases in <a href=\"https:\/\/www.bls.gov\/news.release\/atus.t01.htm\" target=\"_blank\" rel=\"noopener noreferrer\">time utilization<\/a> was in \u201cLeisure and Sports activities\u201d and \u201cCaring for Others\u201d \u2013 about an hour every day. And<\/p>\n<figure id=\"attachment_6324\" aria-describedby=\"caption-attachment-6324\" style=\"width: 284px\" class=\"wp-caption alignright\"><img decoding=\"async\" class=\"wp-image-6324 size-full\" src=\"http:\/\/sigmify.com\/resources\/wp-content\/uploads\/2021\/09\/BLS-ATUS-Activities.png\" alt=\"Time Utilization changes from 2019 to 2020 due to the Pandemic\" width=\"284\" height=\"165\" \/><figcaption id=\"caption-attachment-6324\" class=\"wp-caption-text\">Time Utilized in different activities &#8211; A comparison between 2020 and 2019<\/figcaption><\/figure>\n<p>one of the biggest reductions? In educational activities, and in travel \u2013 about an hour also.<\/p>\n<p>So, the time saved in travel and educational activities was used for personal activities like Sports, leisure, caring for others.<\/p>\n<p>The biggest takeaway from me was that <strong><u>the time spent on work remained steady at seven and a half hours!<\/u><\/strong> You could even say it went marginally up if you add time spent on emails and phone calls.<\/p>\n<p>Did we really need an \u201coffice\u201d? Maybe.<\/p>\n<p>Almost everyone, i.e. everyone other than real estate folks agree that <a href=\"https:\/\/www.ft.com\/content\/1b304300-0756-4774-9263-c97958e0054d\" target=\"_blank\" rel=\"noopener noreferrer\">not only is office space going to change, it is going to evolve in a different way<\/a>.<\/p>\n<p>What I seem to be hearing not only from my team but also from the people I talk to, and from what I am reading is that offices are not so much for \u2018work\u2019 as it is for things \u2018other than work\u2019. Derek Thompson summarizes it well in <a href=\"https:\/\/apple.news\/AbropqgeOQ9yUFJnu2o5XEg\" target=\"_blank\" rel=\"noopener noreferrer\">this article<\/a> in the Atlantic.<\/p>\n<p>In the offices that I \u201cgrew up\u201d in \u2013 \u2018professionally speaking\u2019, we had our own assigned workspaces. The quality of this workspace depended on one\u2019s place on the organizational totem pole. The lower down one was, the smaller the workspace, in a busier pace, and farther from any window or from sunlight :). But the point is, we had a workspace of our own \u2013 our \u201cHome @ Work\u201d.<\/p>\n<p>This is likely to change.<\/p>\n<p>From what I have been reading and hearing two things seem to emerge on the reason to have an office. One, we do need to get together occasionally. And\u2026 two, we need to get together primarily for interacting with each other on matters \u201cother than work\u201d.<\/p>\n<p>As I thought about this it seemed to pointto a shared social space model. Not unlike a restaurant. Where you have tables \u2013 you go there, sit for a bit, interact with the folks you are meeting and then go on with your life, with whatever you need to be doing. Or a club. A little quieter. A little discreet. However, the physical office space is just a part of this equation. The question remains \u2013 how to facilitate the \u201cactual work\u201d that people are supposed to be working on?
